The Secretary within the Nursing Service at the VAMC is responsible and serves as the personal secretary to the Deputy Nurse Executive (DNE), Patient Care Services. On a recurring basis, the secretary is the back up timekeeper communicating with Nursing supervisor's to establish accurate data for departmental usage. This position is in the office of Deputy Nurse Executive, Patient Care Services at Malcom Randall VA in Lake City, Florida. Other duties and responsibilities include, but not limited to, the following:
Serves as personal secretary to the Deputy Nurse Executive (DNE), Patient Care Services Provides principle administrative support to the DNE as well as the subordinate staff of this individual. Operates independently of any other such position in the service. Carries out day to day administrative processes that require skill, knowledge and professionalism that will increase the effectiveness of the programs under the DNE. Coordinates visitors and telephone calls for the DNE for both internal and external customers and makes determinations of inquiries to be referred or handled independently. Composes, edits and reviews correspondence and presentations ensuring format, completeness and accuracy. Coordinates scheduling within the DNE's calendar and ensures routine and non-routine meetings are documented appropriately. Arranges meetings and conferences ensuring space, time, attendees, agendas and back round material are properly supplied. Coordinates travel arrangements by preparing agendas, making transportation and hotel arrangements using the CONCUR travel application. Prepares and runs reports as necessary to follow up with investigations, service required reports, policies, and other service assignments. Provides clerical and administrative support to other members of the executive leadership team when needed. Maintains log of open tasks, reports, and action items coming due. Process incoming and outgoing materials such as correspondence, reports, action items and other forms of communication Serves as a timekeeper for the DNE and as back up where necessary. Experience:
You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Qualifying specialized experienceis defined as:
Ability to communicate orally and in writing with people from a variety of educational backgrounds and training. Ability to follow standard secretarial procedures and guidelines regarding preparation of reports, data entry and correspondence, office practices and professional use of the telephone. Ability to provide services such as, timekeeping, scheduling, and managing the flow of purchased care consults, delivery of care plans to appropriate provider. Knowledge of Microsoft Word, Outlook, Excel Knowledge of secretarial skills, including the ability to effectively organize and plan the flow of clerical processes in an office. Physical Requirements:
Work is mostly sedentary, but does require some walking and standing for a few minutes at a time several times a day processing paperwork, filing, etc. Minor lifting of 5 lbs. or less, carrying files, paper supplies and manuals. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
