Supervisory Medical Administration Specialist

The Supervisory Medical Administration Specialist must have knowledge of daily program planning, future planning and administration of the Patient Processing & Benefits section (responsible for assigning work and related projects to supervisors, employees and volunteers). Performs a wide variety of tasks to include; planning, developing, coordinating, implementing, directing and controlling the overall activities of the Patient Processing & Benefits Section. This critical administrative work is designed to support comprehensive patient administration activities associated with maintaining and supporting the work performed within the organization at the VAMC. Duties and program responsibilities include the following:
Coordinates and ensures the accomplishment of assigned operations and related projects in a manner which complies with national and local policies and directives concerning the administration of VHA medical benefits. Reviews, analyzes and interprets incoming correspondence, then takes the necessary action to address Veteran's issues and find resolution to concerns and/or complaints. Maintains a comprehensive understanding of all the laws, regulations, directives, etc. to correctly facilitate the provision of benefits (e.g. enrollment for care, beneficiary travel, etc.). Serves as a leader and technical advisor; responds to questions from employees on a daily basis. Establishes operating guidelines, ensures adequate coverage/staffing is available, coordinates activities, maintains workflow and ensures consistency in operations. Facilitates a collateral duty of serving as the Fugitive Felon Program Coordinator, facilitating the tracking, notification eligibility and determination process. Participates in the selection process of new staff by reviewing job applications, interviewing applicants, and recommending selections to the appropriate official. Ensures performance standards are in place and deadlines are met for employee appraisals and competencies. Reviews and processes leave requests. Evaluates employee performance by completing mid-year, Summary Rating and Rating of Record performance appraisals. Makes recommendations for performance awards. Provides customer service by meeting with and talking with Veterans to resolve concerns and issues. Provides factual information on eligibility requirements for benefits. On behalf of management, has discussions with public officials, such as the Medical Examiner, funeral directors, law enforcement officials, Veterans Service Officers, etc. to resolve problems and to obtain and share information. Ability to orient and train new and current administrative staff; maintains the proficiency of assigned personnel concerning current VHA operations directives, policies, and procedures. Maintains the proper operation and security of assigned equipment, including computers, related software, and the security of protected health information, in accordance with established VHA directives. Work is mostly sedentary, but does require some walking and standing for a few minutes at a time several times a day processing paperwork, filing, etc. Minor lifting of 5 lbs. or less, carrying files, paper supplies and manuals.
